This article covers how to schedule a Zoom Meeting using Scheduling Privileges.
Prerequisites
- To be able to schedule Zoom Meetings for someone else. Scheduling Privileges must first be set up. If scheduling privileges need to be setup, contact [email protected]
Note - Users with Scheduling Privilege for an account will be able to manage and act as an alternative host for all meetings.
Zoom Portal
1) Log-in to the Zoom portal via the Okta dashboard.
2) In the left hand column, click on Meetings > Schedule a Meeting.
3) With schedule privileges setup, you will see a new section "Schedule For". Here you can choose who to schedule the meeting for.
4) When you are happy with the event settings. Proceed to save the meeting.
5) You can view all scheduled meetings via the Meetings dashboard. By default, your own meetings are displayed. Click on the drop down menu to display the available options.
- Myself - Only your meetings will be displayed.
- All - All meetings scheduled by you will be displayed.
- [email protected] - All meetings scheduled for another person will be displayed.
Desktop Client
1) Open the Zoom Desktop client.
2) Click on Schedule.
3) With schedule privileges setup, you will see a new section "Schedule For". Here you can choose who to schedule the meeting for.
4) When you are happy, save the meeting settings.
5) To view all upcoming meetings via the Desktop client. Click on the "Meetings" tab along the top of the window. All meetings will be displayed on the left-hand side. These can be filtered by the drop down menu.
Zoom Chrome Extension
Before using this method, first review the Zoom Chrome Extension article to see how to enable the "Allow me to specify schedule options each time". Once the setting is enabled continue with the steps below.
1) Open Google Calendar.
2) Begin to create an event. When the event details window opens. Click "Make it a Zoom Meeting". This will open the Zoom Scheduler window.
3) When the Zoom meeting settings open. You will see the "Schedule For" section. Click on the drop-down menu to amend as needed. When happy with the meeting settings, click on "Continue".
4) If you want the meeting to show on another calendar, amend the Calendar settings as needed via the drop-down menu in the Google Calendar event details. The desired calendar will need to of been shared with you with editing permissions first.
